What is CRM? A simple guide to customer relationship management

If you track customers in spreadsheets, a notebook, or WhatsApp messages, you probably need a CRM system. This guide explains CRM in plain language: what it does, when your company needs one, and how it differs from an ERP system.

What does CRM mean?

CRM stands for Customer Relationship Management. In practice it usually means software that keeps your customers’ details and your history with them in one place the whole team can see.

Instead of customer information being scattered across spreadsheets, chats, paper, and employees’ memory, each customer gets one record with their details, what has happened, and what is still to be done.

What does a CRM system do?

Systems differ in size, but most of them do the following:

  • Store customer details and contact history in one shared record.
  • Follow leads from the first inquiry until they become customers.
  • Assign follow-up tasks to the team and remind the owner.
  • Link a customer to invoices, quotes, and what they bought.
  • Show upcoming appointments and follow-ups on one calendar.
  • Give an overview of activity: how many open opportunities exist and who owns them.

CRM vs ERP

People often mix up the two. In short: a CRM serves the relationship with the customer, while an ERP serves the company’s internal resources and accounts.

Aspect CRM ERP
Focus Customers, sales, and follow-up Internal resources: accounting, inventory, purchasing, and HR
Typical users Sales and customer service teams Accountants, warehouse staff, and finance
Core question Who is our customer, what happened last, and what is the next step? What do we own, what do we spend, and how are internal operations running?
Getting started Usually faster and simpler to set up Usually broader and more complex to set up

Neither replaces the other. Many companies start with a CRM to organize customers and sales, then connect it to their accounting system when needed.

Who needs a CRM system?

Any team that deals with customers repeatedly benefits, and it shows most in these situations:

  • You forget to follow up a lead because only one employee knows about it.
  • Two employees call the same customer without knowing about each other.
  • You cannot quickly tell how many sales opportunities are open right now.
  • You run several branches or teams and need separate data for each.
  • You need to know subscription or contract renewal dates before they expire.

How to choose the right CRM

Before comparing products, answer these questions:

  1. Is the interface in your team’s language, and does it support Arabic and right-to-left layout if needed?
  2. Does it run from the browser and phone without installation or a server?
  3. Can you start on a free plan or trial before paying?
  4. Does it cover what you actually need, such as tasks, leads, and invoices, or is it more than you need?
  5. Can you add users and branches without rebuilding from scratch?
